EarSense Audiology is a patient-focused hearing clinic dedicated to delivering high-quality
audiological care in a welcoming and professional environment. We are seeking an organized,
personable, and proactive Office Manager / Receptionist to be the first point of contact for our
patients and to help keep our clinic running smoothly.
Position Overview
The Office Manager / Receptionist plays a dual role combining front-desk reception duties with
day-to-day office coordination. This individual will ensure an exceptional patient experience
while supporting clinic operations, scheduling, and administrative workflows.
Key Responsibilities
Front Desk & Patient Experience
• Greet and check in patients in a warm, professional manner
• Answer and manage incoming phone calls and emails
• Schedule, confirm, and manage patient appointments
• Process payments and issue receipts
• Maintain patient confidentiality and accurate records
Office Management & Administration
• Oversee daily clinic operations and workflow
• Maintain and order office and clinical supplies
• Manage billing support and insurance documentation (training provided as needed)
• Prepare and organize patient files and reports
• Support providers with administrative tasks
• Maintain a clean, organized reception and waiting area
Required Qualifications
• High school diploma or equivalent (post-secondary education considered an asset)
• Strong customer service and interpersonal skills
• Excellent verbal and written communication abilities
• Proficiency with computers and common office software (e.g., Microsoft Office, email
systems)
• Strong organizational skills and attention to detail
• Ability to multitask in a busy clinical environment
• Professional, reliable, and patient-focused demeanor
Preferred Qualifications
• Experience in a medical, audiology, or healthcare setting
• Familiarity with EMR/clinic management software
• Experience with insurance billing or third-party claims
• Experience managing inventory or office supplies
• Minimum 1–2 years of experience in a receptionist, administrative, or office management
role
Work Schedule
• Full-time, typically Monday to Friday; 8:30 am – 5:00 pm
• Occasional schedule flexibility may be required
